Communication

While our HQ is physically located in the Kansas City metro, we operate as a virtual office and work with clients throughout the United States! Even our team is spread across the country.

Due to the flexible nature of virtual bookkeeping and advisory work, and that our team members work within different time zones, work hours vary. However, we operate Monday-Thursday between 9-4pm CST, to address emails, phone calls, and hold client meetings.

You can expect a response within 24-48 hours. We pride ourselves in our communication. We will always respond to let you know we received your email and will address it soon.
Financial

Yes. We exclusively work with QuickBooks Online. If you have a current subscription, great! If you do not currently have a subscription, we will assist you with getting started or migrated over. We highly recommend the Essentials or Plus plan.

We provide financial reports monthly. However, depending on your tier of service, we will also meet with you quarterly. Check out our packages HERE for more information.

We meet via Zoom to review your financials, discuss trends, potential improvements, decisions you are considering, etc. These meetings are incredibly valuable to your business growth! Check out our packages HERE for more information.

Our bookkeeping team will need accountant access to your business bank and credit card accounts in order to efficiently complete your financials. Many banks allow for accountant (read-only) access to online bank accounts. Our team will also need accountant access to any industry-specific software you use which holds financial data to enable us to pull key data (ie, JobTread, etc). This helps us keep our work efficient and effective.

All client passwords are kept safe through LastPass, and all client documents are kept safe with password–protected folders. The software that we use within our firm is SOC 2 compliant.
Logistics

Nope! No contract is required. However, there are no partial month refunds. We do request 30 days’ notice should you ever need to cancel services.

Yes, an engagement letter is required. Once your bookkeeping needs are assessed, a signed engagement letter begins services with us.

We process ACH payments on the 1st of each month for the current period closing.

We do offer payment plans when engaging our firm for catchup or cleanup services, whereby we either bring your accounting file up-to-date or correct historic transactions for a period of time.

Well congrats to you for taking that step! You sign our Engagement letter, we process your first invoice, and you begin the onboarding process with our firm. This includes setting up/revising your QuickBooks file, obtaining accountant access to your bank/credit card accounts/software, and establishing workflows for any additional services you select. Then we get to work ASAP. We love the opportunity to serve our new clients well!

We are a virtual bookkeeping and advisory firm only. This is a benefit to you because it cuts down on your business’ overhead costs!

Hiring a virtual bookkeeping and advisory firm cuts down on your business’ overhead costs. You do not have to pay wages or payroll taxes. There are no sick or vacation days to monitor. You do not have to provide health insurance, pay Workers’ comp, or spend your time training someone in-house. We provide you with a flat-rate, value-based package based upon your business’ needs. It’s as simple as that.

Many of our team members are certified bookkeepers and receive thorough training in-house. With our core value of ‘Always Improving’, we pride ourselves on our continuing education and network of other professionals.
